Privacy Policy
This policy explains what personal information LarpLife collects when you use this website, why we hold it, and what rights you have. We keep the amount we collect deliberately small.
1. Who we are
LarpLife is the data controller for the information described here. Contact details are in section 10.
2. What we collect
We collect only what is needed to run the store:
- Order details — your name, email address, billing details, what you bought and when. Needed to take payment and give you your file.
- Payment information — handled entirely by Shopify and its payment partners. We receive confirmation that a payment succeeded and the last four digits of the card. We never see or store your full card number.
- Account information — if you create an account, your login details and order history.
- Messages — anything you send us when you get in touch.
- Technical information — IP address, browser, device and pages viewed, collected through cookies and Shopify's analytics.
Because every product is a digital download, we do not ask for or hold a delivery address.
3. Why we use it, and our lawful basis

Where we rely on consent you can withdraw it at any time. Every marketing email has an unsubscribe link.
4. Who we share it with
We do not sell your personal information, and we do not share it for anyone else's marketing.
We share it only with providers who help us run the store, and only so far as they need it:
- Shopify — hosting, checkout, order management and analytics.
- Payment providers — to process your payment and prevent fraud.
- Email providers — to send receipts and, if you opted in, updates.
- Professional advisers and authorities — where we are legally required to disclose.
If you follow a supplier link away from this site, you leave our control entirely. That third party handles your data under its own policy, which we have no say in. We do not pass your details to any supplier.
5. Cookies
We use essential cookies to keep your cart and checkout working, and optional analytics and marketing cookies that you can accept or reject. Full detail is in our Cookie Policy.
6. How long we keep it
Order and transaction records are kept for six years after the end of the relevant tax year, which UK tax law requires. Support messages are kept for up to two years. Marketing consent is kept until you withdraw it. Analytics data is kept in aggregated form. After that, information is deleted or anonymised.
7. Your rights
Under UK data protection law you can ask us to:
- give you a copy of the information we hold about you;
- correct anything inaccurate;
- delete information we no longer need;
- restrict or object to how we use it;
- transfer it to another provider; or
- stop sending you marketing.
Email us and we will respond within one month. There is no charge. We may need to confirm your identity first.
8. Where your information is held
Our providers may process information outside the UK. Where that happens, transfers are protected by an adequacy decision or by the UK International Data Transfer Agreement or Addendum, as required by law.
9. Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
